Human Factor is seeking, on behalf of a client, a leading distributor of medical instruments providing advanced equipment solutions, a Public Tenders Specialist to join its team.

About the role

The successful candidate will play a key role in managing public tender procedures, ensuring the accurate and timely preparation and submission of tender documentation, and supporting the company's commercial and operational activities.

The position involves close collaboration between different teams and external stakeholders. The Public Tenders Specialist will ensure compliance with applicable regulatory requirements, maintain well-organized documentation, and proactively monitor deadlines and ongoing tender processes. The position requires a detail-oriented, organized, and proactive professional with the ability to manage multiple priorities in a dynamic business environment.

Key Responsibilities

• Prepare, coordinate, and submit public tender documentation, ensuring accuracy and compliance with strict deadlines

• Monitor public tender platforms for new opportunities, announcements, and updates

• Collaborate with internal departments to collect and consolidate technical, commercial, and administrative documentation

• Ensure compliance with applicable public tender regulations and the specific requirements of each tender

• Maintain and regularly update organized records of tender submissions, contracts, and related correspondence

• Track tender progress and submission deadlines, ensuring timely follow-up on all pending matters

• Coordinate communication with relevant internal teams and external stakeholders throughout the tender process

Requirements

• Bachelor's degree

• At least 2 years of experience in public procurement and public tender submission procedures

• Excellent knowledge of Microsoft Office

• Fluency in Greek and English, both written and spoken

• Experience managing multiple tender deadlines simultaneously

• Hands-on experience preparing and compiling public tender submission files

• Familiarity with Entersoft ERP

• Experience working with public procurement platforms such as ESIDIS and cosmoONE

• Experience in cross-functional coordination and systematic follow-up with relevant stakeholders
